SharePoint-to-Snowflake Migration and AI Search Foundation for Healthcare Advisory Firm

The Situation

A professional services and advisory firm had a large volume of institutional documents stored in SharePoint and needed to move them into Snowflake to enable AI-powered search and future retrieval-augmented generation (RAG) use cases. Their Snowflake environment was configured on PrivateLink, ruling out common ingestion tools that do not support PrivateLink natively. Key challenges included:

  • SharePoint documents inaccessible for search or analytics, with no path to AI-powered querying over institutional knowledge
  • PrivateLink configuration requiring a Snowflake-native ingestion approach, limiting tool options
  • Client team unfamiliar with OpenFlow, a newer Snowflake-native connector, and needing a guided, independently maintainable setup
  • A need to lay the technical foundation for future AI and RAG capabilities, not just move data

What We Did

Designed a Snowflake-based architecture using Snowflake OpenFlow to migrate SharePoint document libraries into Snowflake while staying fully compatible with the client's PrivateLink configuration

  • Built a trial Azure environment and prepared step-by-step setup documentation in advance, then ran a collaborative over-the-shoulder session with the client to configure their Azure environment for OpenFlow, since direct access could not be granted
  • Configured Snowflake grants and access controls required for the engagement
  • Used OpenFlow's out-of-the-box SharePoint connector to ingest two document libraries (approximately 6GB combined) into Snowflake in both raw and chunked form
  • Set up document processing including OCR parsing, text chunking, and embedding generation to support similarity search
  • Configured Cortex Search over the staged, chunked documents to enable contextual natural-language search across the full document corpus
  • Delivered simplified, plain-language handoff documentation per the client's explicit request, ensuring the team could maintain and extend the solution independently
  • Ingested a third document library

Results

Two SharePoint document libraries — approximately 6GB of institutional documents — fully staged in Snowflake in both raw and chunked form, with a Cortex Search service enabled and operational

  • AI/RAG-ready foundation established, enabling future natural-language querying over the client's document knowledge base
  • Client team independently exploring and engaging with the new environment following handoff
  • Relationship expanded from an existing Tableau, Power BI, and Curator partnership into Snowflake, making InterWorks a trusted resource across four platforms
