AI-Powered Document Extraction for Global Freight Forwarder and Customs Broker

The Situation

A family-owned global freight forwarder and licensed customs broker with over 30 years of experience was managing high volumes of complex operational and regulatory documents across freight invoices, customs declarations, warehousing forms, and cargo insurance paperwork. Critical data was locked in unstructured formats — PDFs, scans, and forms — requiring staff to manually read, key, and validate information across every transaction. Key challenges included:

  • Manual document processing creating bottlenecks and scaling constraints across global operations
  • Significant human error risk in a highly regulated environment where documentation errors carry real consequences
  • Staff time consumed by repetitive data entry rather than higher-value customer-facing work
  • No systematic way to surface document data for compliance reporting, audits, or operational analytics

What We Did

Designed a Snowflake-based architecture using Snowflake Cortex Document Intelligence to extract structured data from logistics and finance documents into Snowflake tables

  • Identified priority document types across core business services including freight invoices, customs declarations, transport and warehousing documents, and insurance forms
  • Guided the client's team through building and tuning Document AI model builds in Snowsight, defining extraction fields using natural language prompts and iteratively validating outputs against real documents
  • Implemented automated extraction queries and built end-to-end pipelines using Snowflake streams and tasks for continuous, production-grade document processing
  • Applied zero-shot extraction and fine-tuning where needed to handle domain-specific document layouts and regulatory nuances
  • Delivered knowledge transfer and enablement so the client's team could independently add new document types and monitor extraction quality going forward

Results

Unstructured freight, customs, warehousing, and insurance documents now converted automatically into structured, queryable data in Snowflake

  • Staff across operations, customs brokerage, and finance freed from repetitive manual data entry to focus on exception handling and customer-facing work
